ULS launches people directory available in Phoenix

It is a tool to support the university's internal communication, whose updating will be the responsibility of the users themselves. The search can be carried out by name, position, unit or macro-unit, allowing access to the email, telephone extension and associated unit.

Within the framework of the expansion of digital culture at the university, in 2020, Phoenix ULS launches a new tool: a directory of people that solves a felt need for quick and up-to-date access to the contact information of students. and the officials. “This tool replaces and ostensibly improves the .pdf file that contained the telephone numbers and emails of the macro units of the institution,” says the Director of CICULS, Andrés Moya, when asked about the reasons behind this new development.

“It is a tool for modernizing information that is frequently used in the institution and constitutes a basic condition for internal communication to flow, allowing people to find the contact information of colleagues, through filters such as position , unit or name,” explains Carola Espinoza, Director of Strategic Communication.

Updated and reliable information 

For the tool to be truly valued and used, the information must be kept updated and correct, requiring the commitment of all officials so that these conditions are met.

“The first person interested in ensuring that the contact information is updated is the official himself/herself. Hence, the update procedure places the responsibility on him or her to report the update of his or her contact information,” explains Carmen Ávalos, leader of the CICULS Help Desk group.

Thus, ULS officials must start by searching the directory and verifying their data. If the data is incorrect or does not exist in the directory, you must request the secretary of the macro-unit (Rectory, Vice-Rectories, Faculties and CICULS), to manage the update or incorporation, respectively. “It is essential that the secretaries of the macro units receive updated information so that they can manage, with CICULS, the updating of information. Hence, we invite all ULS officials to enter the directory, review their data and activate the entry and/or update procedure,” says Andrés Moya.

“In the month of January we carried out training with secretaries of macro units, in order to present the tool and explain to them how to manage the updating of data or the creation of records. During March, we will do new training to insist on the need to populate the directory one hundred percent,” explains Carmen Ávalos.

All ULS academic and non-academic officials have access to the people directory through Phoenix (https://phoenix.cic.userena.cl/), entering your institutional email and your Phoenix password.

Additionally, at the home of www.userena.cl, a link to the ULS People Directory will be incorporated as permanent access, in the Phoenix Platform section.
